Privacy & Cookie Policies
Who we are
What personal data we collect and why we collect it
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
VV4W.org follows a standard procedure of using log files. These files log visitors when they visit websites. All hosting companies do this as part of hosting services’ analytics. The information collected by log files include internet protocol (IP) addresses, browser type, Internet Service Provider (ISP), date and time stamp, referring/exit pages, and possibly the number of clicks. These are not linked to any information that is personally identifiable. The purpose of the information is for analyzing trends, administering the site, tracking users’ movement on the website, and gathering demographic information.
We are committed to protecting your privacy, and we will only use the information that we collect about you lawfully (in accordance with the Data Protection Act 1998 and GDPR). We may collect information you submit via our contact form for 2 reasons: to process your order related information; to respond to any messages or questions which you may have submitted.
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
You can choose to disable cookies through your individual browser options. Detailed information about cookie management with specific web browsers can be found at the browsers’ respective websites.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
Payment gateway processing
We use third party payment gateway processors to process your orders and payments. Data will be passed to the respective third party, including information required to process or support the payment, such as the purchase total and customer’s billing information. Information shared with a payment provider to process payments may include: Name, email, address, phone, city/state/zip, unique payment identifier, and payment provider identifier. Additional information regarding privacy policies for our payment gateways can be found here:
Who we share your data with
Your data is used to process and fulfill orders, and to respond to any messages or questions which you may have submitted. Your data will be shared with third party payment gateways in order to process those orders, Website administrators, and to members of our club managing our Hump ‘N’ Bump registration. We do not sell or disclose your information to any other parties.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
Where we send your data
Visitor comments may be checked through an automated spam detection service.
Your contact information
We may collect information you submit via our contact form or ordering system for 2 reasons: to process your order related information; to respond to any messages or questions which you may have submitted.
Third party links
How we protect your data
While no online service is 100% secure, we work very hard to protect information about you against unauthorized access, use, alteration, or destruction, and take reasonable measures to do so. We limit access of sensitive information to the minimum amount of key Website administrators and VV4W club members needed to operate our sites and process event-related information.
We maintain our Website regularly and implement security features provided by our Web host and related third party entities, as they become available. We use SSL/HTTPS throughout all our sites. This encrypts our user communications with the servers so personal identifiable information is never captured by third parties without authorization.
What data breach procedures we have in place
In case of a data breach, System administrators will immediately go through affected users and will attempt to reset passwords, if needed, after informing the user.
What third parties we receive data from
Our Websites may allow you to enter social networking websites such as Facebook, YouTube, and Instagram. If you choose to follow, like, friend, share, or comment on our social media websites, or otherwise share information on these social networking websites, we may receive information about you. This information will be used to connect with you, and/or to enhance the user experience on our sites or during our events. We may also receive information from our payment processing gateways, which will be used in processing your order.
What automated decision making and/or profiling we do with user data
We do not use automated decision making or profiling. We reserve the right to implement these activities in the future, at which time, we will update our policies to provide transparency as to what our automated decision making and/or profiling we do with user data.
Opting out of communications
If you have subscribed to or are otherwise receiving VV4W or Hump ‘N’ Bump news or similar information from us by email, and no longer want to receive such information in the future, you may opt out of receiving these emails by responding to the email you received, and asking us to remove you from the mailing list. Please allow ample time for us to process your request. If you are having difficulty unsubscribing, please contact us directly at VegasValley4Wheelers2018@gmail.com. Please note that even if you opt out of receiving emails, you may still receive communications related to the VV4W’s oversight activities or otherwise as required by law.
